The Handover Pack a Kolkata Architect Should Give You

Most people choosing an architect in Kolkata spend their comparison energy on two things, the fee percentage and the look of the portfolio, and both of those are reasonable places to start, but neither of them tells you what you will actually be holding in your hands on the day the last workman leaves your plot. That day arrives faster than owners expect. The scaffolding comes down, the final payment is released, the site team moves to the next job, and you are standing in a finished house with a set of keys and, if you were not careful about it at the start, a shoebox of loose photocopies and a WhatsApp thread full of compressed drawings you cannot read.

We have been running our studio out of New Town since 2014 and have delivered 330-plus buildings across New Town, Salt Lake, Rajarhat and greater Kolkata, and the single most reliable predictor of whether an owner has a calm decade after possession is not the quality of the marble, it is the quality of the handover pack. The people who come back to us five years later wanting to add a floor, sell the property, fight an unfair assessment, or simply find out where a leaking pipe runs, fall into two clean groups. One group opens a folder and we have an answer in twenty minutes. The other group pays a team to open up a wall and guess.

So this is a practical piece about what a handover pack should contain, why each item earns its place, and how to ask for it in writing before you sign anything, because the honest truth is that the time to negotiate your handover pack is at appointment, and not at completion when your leverage is gone.

Ask this in the first meeting Put one line in your appointment letter: "the fee includes a complete handover pack in editable and PDF format, listed as an annexure." An architect who is set up to deliver it will agree on the spot, and one who hesitates has just told you something useful.

What a handover pack actually is, and why owners rarely get one

A handover pack is the complete documentary record of your building, assembled and indexed at the end of the project, covering the drawings as they were finally built, the statutory approval trail, the service layouts hidden inside walls and slabs, the material and finish schedule, the warranties, and a maintenance calendar. It is not a marketing brochure and it is not a set of pretty renders. It is the operating manual for an asset that will probably be the largest thing you own.

The reason owners rarely receive one is structural rather than sinister. A construction project generates its documentation continuously and messily, drawings get revised at site, a beam moves 150mm to clear a duct, a bathroom gets re-planned after the plumbing survey, and unless somebody has the discipline to fold every one of those changes back into a master set, the drawings on record slowly stop describing the building that exists. By the time the project ends everyone is tired, the owner wants to move in, and the paperwork quietly loses. The catch here is that the cost of assembling the pack during the project is close to zero because the information is already flowing, while the cost of reconstructing it three years later is a measured survey and a large bill.

The drawing set, and why as-built is the only version that matters

Your pack should open with the as-built architectural set, meaning plans, sections and elevations that reflect the building that was actually constructed rather than the version that was drawn eighteen months earlier. Ask for it at a stated scale, ask for a PDF for reading and a CAD file for the next professional who works on your property, and ask for the revision date on every sheet so that nobody has to guess which of four files is current.

Alongside that you want the structural set, the foundation and footing layout, the column positions with their sizes, the beam layout floor by floor, and the slab reinforcement details. When somebody later wants to cut an opening for a new window, or hang a heavy false ceiling, or add a service floor, this is the file that decides whether the answer is straightforward or expensive. We tell clients on our residential architecture projects that the structural drawings are the part of the pack they will never look at and will one day be extremely glad they own.

Then the interior set, and here the level of detail is worth insisting on, because joinery drawings, wardrobe internals, kitchen elevations, and the exact positions of blocking inside partitions are what allow a future carpenter to work with the house rather than against it. On our residential interior design work we hand over the shop drawings as well as the design drawings, since the shop drawings are what the fabricator actually built from and are therefore the more truthful record. The approval file, which is the part that protects your title

This is the file that most owners underestimate and most future buyers ask for first. It should contain the sanctioned plan with the sanction endorsement visible, the application and its annexures, every acknowledgement and query response along the way, the paid challans and receipts, and the completion or occupancy documentation at the end.

The reason to treat this as a single indexed file rather than scattered paper is that Kolkata and its newer townships run on a handful of different authorities with different requirements. A plot inside New Town, Kolkata sits under NKDA, a Salt Lake plot sits under Bidhannagar Municipal Corporation, and an address inside the older city sits under the Kolkata Municipal Corporation. The tail end of this file is the one people forget. The services file, or the map of everything you cannot see

Behind your finished walls there are conduits, water lines, drain lines, and in most of our projects a fair amount of concealed provision for things you have not installed yet. The services file is the map of all of it, and it should be drawn on the same as-built plans rather than on a separate sheet that nobody can align.

The electrical layout wants circuits, distribution board schedules, and switch and socket positions with the circuit each one belongs to. The plumbing layout wants supply routes, shut-off valve positions, tank capacities and levels, and the drainage layout wants line routes, inspection chamber positions and invert levels. On projects with detailed ceiling work we add the ceiling services drawing as its own sheet, because false ceiling and lighting design hides the largest concentration of concealed services in the whole building and is the single most common place a later contractor drills through something expensive.

The Kolkata-specific item on this list is the waterproofing record. In a climate that delivers a serious monsoon every year, terrace treatment, sunken slab treatment, and external wall protection are not decorative choices, and knowing which system was used, at what thickness, by whom, and on what date is what allows a problem to be diagnosed instead of guessed at. We record it as a written note against the location, and it has saved our clients more money than any other single page in the pack.

Materials, warranties and the maintenance calendar

The material and finish schedule is a room by room list of what is on the floor, on the walls, on the ceiling and on the joinery, with brand names, product codes, batch information where it exists, and the quantity ordered. Two years later a tile cracks, and the difference between replacing one tile and replacing a floor is whether anybody wrote down the code. Paint codes belong here too, and so does the leftover stock note telling you what was stored where.

Warranties should be collected rather than assumed. Waterproofing systems, membranes, lifts, pumps, water heaters, appliances, uPVC and aluminium systems, and modular units all carry their own terms, and they should reach you as a single indexed set with start dates and service contacts, since a warranty you cannot locate is functionally the same as no warranty at all. Then the maintenance calendar, which is the most useful single page we produce and takes about an hour to write. It says what to check before the monsoon, what to service annually, what to inspect every five years, and it is written for your building rather than copied from a template. Buildings do not fail suddenly, they fail slowly while nobody is looking, and a calendar is what converts an eventual repair into a scheduled inspection.

How to ask for it, and what a straight answer sounds like

Bring it up in the first conversation, and ask three questions. Ask what exactly is handed over at the end and in what formats. Ask who maintains the drawing register during construction, because somebody has to own the version control or it does not happen. Ask whether the approval correspondence is compiled as a file or left as loose paper.

A studio that runs this way will answer without pausing, because the pack is a byproduct of how the work is already organised rather than a separate favour. A studio that improvises will offer you a folder of PDFs at the end and quietly hope you do not ask which revision they are. That last point deserves weight.
